This notice covers feedback for Padel Up, REFORM and RESET. Padel Up manages the feedback service. Contact: support@padel-up.co.uk, Unit 1B, Opus Park, Stockton-on-Tees, TS18 3BP.

What we collect

Your rating, selected activities and improvement areas, any comment, the time, location and the link or QR placement you used. Name and email or mobile are collected only if you request contact. You can submit without giving those details. Please do not include health information or other sensitive details about yourself or others.

Why we use it

We use feedback to understand customer experience, investigate problems and improve our clubs. This is our legitimate interest in running and improving our services. If you request a reply, we use your contact details for that purpose only. Feedback is not permission for marketing.

Who can see it

Authorised Padel Up management can access feedback. Club managers can be restricted to assigned locations. The service uses OpenAI Sites and Cloudflare to host and store information. Authorised ChatGPT reporting can analyse comments to identify recurring issues. Automated labels and summaries support human review; they do not make decisions about you.

Retention

Contact details are removed 90 days after an issue is closed, or after 12 months at the latest. Comments, issue notes and individual feedback are removed after 24 months. Retention is applied automatically when new feedback is submitted or management opens the dashboard, and can also be run by an administrator.

Cookies and security

A random two-day cookie helps us distinguish repeated submissions from the same browser. We temporarily store a hashed, hourly network identifier to limit spam; it expires after two hours. These are not used for advertising. Anonymous customers do not need an account. Managers use secure sign-in.

Your choices

You can ask to access, correct or delete personal information, object to processing based on legitimate interests, or request restriction where applicable. Send your feedback reference and request to the email above. We may not be able to identify a response submitted anonymously. You can also complain to the Information Commissioner’s Office.
